This position is responsible for providing administrative support to the Executive Director and assigned faculty departments by performing office management duties, greeting visitors, answering the telephone, controlling inventory of supplies, making photocopies, processing mail and performing related duties as assigned.
Duties and Responsibilities:
-- Provides administrative support to the Executive Director.
-- Responds to requests for information; may require interpretation of department rules and regulations.
-- Independently composes and types correspondence involving complex, sensitive, and non-routine matters.
-- Compiles and types special reports by selecting relevant information from a variety of sources such as reports, documents, correspondence, electronic files, etc.
-- Serves as liaison between supervisor and staff members.
-- Supervise 1-2 personnel as directed.
-- Prepares materials needed for meetings, such as agendas, handouts, binders, etc.
-- Attend meetings and transcribe minutes.
-- Greets visitors, receives telephone calls and respond to questions.
-- Schedules appointments and maintains calendar of the Director, faculty or staff.
-- Obtains, sorts, and distributes mail.
-- Maintains inventory of supplies and reorder office supplies as appropriate.
-- Files and retrieves documents, records and reports.
-- Makes photocopies and faxes documents.
-- Performs related duties as assigned.
-- 3 to 4 years of Administrative Assistant experience
-- Excellent Excel, Word, and Power point skills
-- Familiarity with online collaboration tools, e.g. Slack, and file sharing, e.g. Dropbox
-- Strong organizational skills
-- Diplomatic and congenial manner necessary with the ability to establish and maintain successful working relationships with administration, staff, faculty, students, and the general public
-- Positive and flexible with the ability to multi-task and manage competing demands
